Job Description

The Staff Health Assistant plays a vital role in supporting the Staff Health Officers by performing various administrative tasks to ensure the smooth delivery of Staff Health services. Under the close supervision of the Staff Health Officer, the Staff Health Assistant is responsible for preparing and updating documents, organizing hospital bills, providing administrative follow-up for digital filing activities, and maintaining an organized and accessible reference file. The position requires adherence to the ICRC’s and delegation’s policies, as well as applicable laws and regulations.

Key Responsibilities

  • Administrative Support: Provide general secretarial and administrative support to the Staff Health Officer. This includes managing correspondence, scheduling appointments, and organizing meetings.
  • Hospital Bill Management: Organize and manage hospital bills for mobile staff and their dependents. Ensure the original receipts of paid accounts are forwarded to the mobile staff and maintain a systematic record for reference.
  • Digital Filing: Provide administrative follow-up for digital filing activities. Ensure all medical documents are accurately encoded and stored in the digital system for easy access and reference.
  • Data Entry: Encode medical cover sheets and maintain a well-organized file for easy reference. Ensure all data is accurate and up-to-date.
  • Communication: Act as a liaison between the Staff Health Officer and other staff members, ensuring clear and effective communication regarding health-related matters.
  • Policy Adherence: Ensure all activities are carried out in compliance with the ICRC’s and delegation’s policies and the applicable laws and regulations.
  • Confidentiality: Maintain strict confidentiality of all medical and personal information of staff and their dependents.

Additional Responsibilities

  • Reporting: Assist in the preparation of regular reports on staff health activities, including statistics on hospitalizations, medical consultations, and other health-related services.
  • Inventory Management: Help maintain an inventory of medical supplies and ensure timely replenishment as needed.
  • Event Coordination: Assist in organizing health-related events, such as health awareness seminars and vaccination drives, to promote the well-being of staff.
  • Training and Development: Participate in relevant training sessions to enhance skills and knowledge related to staff health administration.

Qualifications

  • Education: University degree in nursing or a related field.
  • Experience: A minimum of 2 years of clinical and administrative experience. Experience in a similar role within a humanitarian organization is an advantage.
  • Technical Skills: Proficient in MS Office applications, with advanced MS Excel skills being an added advantage. Knowledge of digital filing systems and data management is essential.
  • Language Skills: Good command of written and spoken English and Filipino. Additional language skills are a plus.
  • Interpersonal Skills: Strong communication and interpersonal skills. Ability to work effectively in a multicultural team environment.
  • Organizational Skills: Excellent organizational and time management skills. Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Attention to Detail: High level of accuracy and attention to detail in data entry and document management.
  • Problem-Solving: Ability to identify and address issues promptly and effectively. Proactive in seeking solutions and improving processes.
